Event Terms and Conditions

These terms and conditions ("Terms") apply to bookings for any Bonsai Academy event, workshop, or course ("Event") operated by Bonsai Blue Consulting Ltd, trading as Bonsai ("we", "us", "our"). By completing a booking, you agree to these Terms.

1. Bookings and Payment

1.1 All bookings are made via our website at www.bonsai.blue and are subject to availability.

1.2 The Event fee is as stated on the relevant Event page at the time of booking. Full payment is required at the time of booking to secure your place.

1.3 Your booking is confirmed once payment has been received and you have received a confirmation email from us.

1.4 Places may be limited. We reserve the right to close bookings at any time once capacity has been reached.

2. What's Included

2.1 What is included with your booking is as set out on the relevant Event page at the time of booking.

2.2 Where discount codes are provided as part of an Event, these are non-transferable and cannot be combined with other offers unless stated otherwise. Any validity periods for discounts will be as stated on the Event page.

3. Cancellations and Transfers by You

3.1 All bookings are non-refundable. By completing your booking, you acknowledge that the Event fee is non-refundable in all circumstances, except where we cancel the Event (see Section 4).

3.2 You may transfer your booking to another person at no additional charge, provided you notify us in writing at hello@bonsai.blue at least 7 days before the Event and the substitute attendee agrees to these Terms.

3.3 It is your responsibility to arrange any transfer. We are not able to assist in finding a substitute attendee.

4. Cancellation or Changes by Us

4.1 We reserve the right to cancel or reschedule an Event due to circumstances beyond our reasonable control, including but not limited to venue unavailability, illness of the facilitator, or insufficient bookings.

4.2 If we cancel an Event, you will be offered the choice of a full refund or a transfer to a rescheduled date.

4.3 We reserve the right to make reasonable changes to the Event programme, content, or schedule. We will notify attendees of any material changes as soon as reasonably practicable.

4.4 We are not liable for any travel, accommodation, or other costs incurred by you in connection with a cancelled or rescheduled Event.

5. Attendee Conduct

5.1 We are committed to providing an inclusive, respectful, and welcoming environment for all attendees. We expect all attendees to treat fellow participants, facilitators, and venue staff with courtesy and respect.

5.2 We reserve the right to refuse entry or remove any attendee whose behaviour is disruptive, offensive, or otherwise inappropriate, without refund.

6. Intellectual Property

6.1 All materials provided as part of an Event, including but not limited to slides, templates, frameworks, handouts, and pre-learning content, are the intellectual property of Bonsai Blue Consulting Ltd and are provided for the attendee's personal and internal business use only.

6.2 You may not reproduce, distribute, share publicly, or resell any Event materials without our prior written consent.

6.3 Photography and recording during Events are not permitted without our express prior approval.

7. Limitation of Liability

7.1 Our Events provide general education and practical guidance on AI risk and governance. They do not constitute legal advice and should not be relied upon as a substitute for independent legal, regulatory, or professional advice tailored to your specific circumstances.

7.2 To the fullest extent permitted by law, our total liability in connection with an Event (whether in contract, tort, or otherwise) shall not exceed the Event fee paid by you.

7.3 Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

8. Data Protection

8.1 We will process your personal data in accordance with our Privacy Policy, available at www.bonsai.blue/privacy.

8.2 Your name and contact details will be used to administer your booking, deliver the Event, and provide you with any included materials or offers. We may also use your details to inform you about future Bonsai Academy events and services, from which you can unsubscribe at any time.

9. Venue (In-Person Events)

9.1 Where an Event takes place in person, the venue and address will be confirmed on the relevant Event page and in your booking confirmation. You are responsible for arranging your own travel to and from the venue.

9.2 Attendees must comply with the venue's own terms, conditions, and house rules.

9.3 If you have any accessibility requirements or dietary needs, please let us know at hello@bonsai.blue as early as possible ahead of the Event. We will communicate these to the venue and make reasonable adjustments wherever we are able.

10. Online Events

10.1 Where an Event takes place online, joining details and any technical requirements will be provided in advance. You are responsible for ensuring you have a suitable internet connection and device to participate.

10.2 Online Events may not be recorded, screen-captured, or redistributed by attendees without our express prior approval.

11. Force Majeure

11.1 We shall not be liable for any failure or delay in performing our obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, government actions, transport disruptions, or venue closures.

12. General

12.1 These Terms are governed by the laws of England.

12.2 The courts of England and Wales shall have exclusive jurisdiction to settle any dispute arising out of or in connection with these Terms.

12.3 If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

12.4 These Terms constitute the entire agreement between you and us in relation to your booking for the Event.

12.5 We reserve the right to update these Terms from time to time. The version in effect at the time of your booking will apply to that booking.
